Create Placeholders from Excel

This functionality allow users with the appropriate permissions to create Placeholders by importing information from an Excel (xls format) file.

 

1. Select Folder to create placeholder.

 

 

2. Click on the  icon and select Publish Document Placholder.

 

 

 

3.  Click on “Use Excel Spreadsheet to define Placeholders” tab in order to import information from excel.

 

 

 

4.  Click on the link "Click here to download a placeholder template" for downloading a placeholder template.

 

5.  Define the values required in the metadata section and save the file.

 

6.  Click on "Browse".

7. Select the xls file and click on "Create New Placeholders".

 

8. Information in the xls will be auto-populated in the metadata section.

 

9. Amend the document details for the placeholder/s in the required fields.

 

 Status will default to pre-published and cannot be changed

 Select Distribute options. Default value is Distribute Now

 

10. Click on  icon or Document Distribution link to select the distribution

 

11. Select Company or Distribution Groups from the top drop down menu

 

 

12. Once a Group or Company have been selected, the appropriate individuals will appear.  Select individuals to receive file/s by clicking on their name/s

 

 Users may multiple select by using their Shift or Ctrl key

 

13. Click on Add to Distribution List to confirm selection

 

14. Select Action Required, Action Due Date & enter Action Notes for each individual where necessary.  Apply the For Publishing action to the user you wish to publish the new revision of the document

 

 

 Click on the  icon to select Action Due date

 

15. Click on Distribute to display the selected users in the distribution table

 

16. Click on Create Placeholders

 

17. Click on OK to confirm
