Forms/Apps created on Asite Workspaces can be publicly accessed if external access is allowed for the Apps.
External Access for the Apps can be set via Apps
Settings by users having appropriate permissions.
The following steps outline the process of generating Public Link on App creation:
1. Click on the icon on Workspace
Home page or Apps Listing page against the App type. The Apps setting
of "Allow External
Access" for the particular App should be set to Yes.
2. Enter RFI Title, User Reference Code & RFI Content in fields provided.
Respond By date may also be available depending
on the type of Form chosen - Some Forms do not require Respond By date.
3. Click on to spell
check the contents entered in the form.
The contents will be spell checked only on clicking the spell check
icon if "On Request" option is selected in form settings
The contents will be automatically spell checked if "On Saving
Form" option is selected in form settings
4. Click on the icon
to select a Respond By Date.
5. Click on icon
to distribute to other team members within the Workspace team.
It is mandatory to select at least one user in
the distribution list if the Form setting of "Allow Distribution"
is set to Mandatory.
Once the App is created, all the paper users to whom the form is
distributed, a unique public link, with a message icon
will be generated per Paper user.
6. Click on Save Draft to create draft form
Select Display Form
Print View After Saving to display Form Print Preview on sending
the form.
Draft forms will numbered as DRAFT
will be displayed in the Form ID column.
The Draft form will be actually numbered on actual submission
of the form with the form message creation date set to
the date on which the form was submitted.
7. Click on Create to create form.

8. Once the App is created, all the
paper users to whom the form is distributed, a unique public link, with
a message icon will be generated
per Paper user.
Administrators will also have an icon to launch the native mail with the
Public Link url populated so that it can be emailed to external users.
FAQs
Q: I do not see Audit History icon on the App.
A: The Audit history icon is not available to the external user.
Q: Can I Respondor Forward the received App message as an external user?
A: The external users will be able to Respond or Forward messages based on form settings. The abilities to associate documents and associate forms will not be available. However, the users can attach documents from their local machine.
