1. New Functionality
Asite Winter'12 Release includes the following new functionality:
1.1 Portal
|
The Platform now supports UTF-8 character sets throughout the Platform for both input and display fields. We have also added support for the French language for our French-speaking users. |
|
Administrators can now deactivate users in Portal and the user will be marked inactive on all workspaces to which the user has access. |
|
Organisations can now be marked for “Demo” purposes. The organizations marked as 'Demo' will now not appear in the Public Directory listing on community. Such Demo organizations will appear with a special icon with a rollover indicating that the organisation is a demo org. |
|
Form Type in summary emails will be linked to take the user directly to the selected form type. |
1.2 Reporting
|
A new Browser-based Reporting tool has been introduced in the Asite Platform. This tool will enable users to design and create reports in their web-browser. This release allows users to create Reports using data from the Project Team Directory, Documents listing, Document Distribution, and Comment Register as well as AppBuilder forms with custom fields. |
1.3 Document Manager
|
Users can now save their search criteria as ‘Views’ and re-use and selectively share these views with team members. Saved and shared views are now available across the various application functionalities i.e. Documents, Distribution, Comments, Basket, Forms, and Form distribution views. |
|
Users can now link documents dynamically, whereby the latest revision uploaded is automatically applied and reflected to the linked revisions in destination folders. Users now have an option to specify if the link is to be Static or Dynamic. The dropdown will now have an additional value of “Dynamic” allowing users to create dynamic links. The Dynamic links can also be set to trigger on specific conditions of Document Status. Additionally the Status Change can also automatically trigger linking the revision to destination folders. |

Administrators can now define Workflow Rules applicable during Upload and Document Status Change. The Workflow Rule will facilitate distribution to specified Distribution groups. |
|
Administrators can now deactivate the actions assigned to users. Users may now lose access of the private documents / Apps if all actions are deactivated. |
|
Users now have options to “Apply to All” for Public / Private setting while assigning document attributes. |
|
Users will now be shown the document viewer along with the Collaboration Panel when the user clicks on a ‘For Comment’ action link. |
|
Document searches from within a folder will now include all subfolders by default. |
|
Instead of clearing only the working user’s actions on document Revision when the status is changed, the actions of all the users will now be cleared on status change. |
|
Administrators can now deactivate the latest revision of the document. Users will now be shown the latest active revision of the document to which the user has access, if the user does not have a privilege to access deactivated documents. |
|
If the latest revision of a public document is deactivated, User will now be able to view: • The latest active document revision [if the user is viewing Only Active Documents] • The latest deactivated document revision if the user is viewing Only Inactive Documents and if the user can access deactivated documents • The latest active document revision, if the user does not have access to deactivated documents • The latest document revision– deactivated in this case [if the user is viewing All Documents] if the user can access deactivated documents If the latest revision of a private document is deactivated, the user will now be able to view: • The latest active document to which the user has access to [if the user is viewing Only Active Documents] • The latest document to which the user has access to – deactivated in this case [if the user is viewing Only Inactive Documents], if the user can access deactivated documents |

Users can now initiate workflows such as AppBuilder forms directory from the Asite document viewer. |
|
Administrators can now configure automatic workflows which are triggered by inbound emails. |
|
Users now have an additional option to append Document Title to the Filename when downloading files. |
|
Administrators can now update folder permissions of a sub-folder while updating the permissions of the parent folder within a workspace. User can either overwrite or merge the folder permissions to all the sub-folders of the folder being updated. |
1.4 Workflow Manager
|
Administrators can now setup Public folders and circulate the link for non-Asite users to access and download the document revisions. Clicking the link will launch the document listing page for that folder. |
|
Users can now specify if the document association to forms should be dynamic or static. This is based on a new form setting. If the Dynamic Association is opted, the latest revision of the associated document will be automatically associated with the form each time a new revision is uploaded in the folder. |
|
With this new administrative feature, users are allowed to view the associated documents / forms despite not having access to the folders in which the documents are published / forms are created. The user’s access to the associated form / documents will depend upon the form settings, to allow or not, to view all associations bypassing the ACL. |
|
The Contact Card now includes information of Proxy Users. The proxy details include the list of users who can access the system, on behalf of the selected user as well as the list of users on behalf of whom the selected user will be able to work on the system. |
|
Quick links for 'Cancel' / 'Save Draft' / 'Send' are now available next to the Comment Title box in the comment creation interface. |
|
User with the “Can be assigned to workspace without acceptance” privilege will be able to access workspaces where the user is assigned a role without having to accept an email invitation to access the workspace. |
|
Instant Notifications mails will now show the details of the user assigning the action. |
1.5 AppBuilder
|

The platform will now automatically auto-save all forms as DRAFT in the background whilst they are being drafted. This will apply to the process of creating new forms and of editing existing form instances. |
|
Users can select batches of forms and change their statuses together. AppBuilder functions such as Auto-create can be triggered by status changes using the “Allow auto-creation on Status Change” option in the AppBuilder form settings. |
|
Users can now Batch change status of the Forms from Form listing page and Forms basket. A new role privilege “Can Batch Change Status of Forms” is introduced to control who can view the icon in the Form listing area / basket option to Batch Change Status. Users who do not have this privilege will continue to change the individual form status as per existing application functionality. |
|
An additional form setting called "Allow Redistributing" will be available. Distribute button will be available, only if this setting is ON. Allow Forwarding setting will work for the user to only edit and distribute. |
|
Import data to forms now supports .xlsx files. |
|
Users can now upload files which will automatically get published to a folder while creating forms. The external documents for the forms for which the “Publish Document as Revision” setting is selected, will be uploaded to the specified folder and these externally attached documents published to the folder will be associated with the form. |
|
Users can now discard the forms saved as drafts. The user can click on any saved draft and click on Discard Draft button. This will permanently discard the draft. |
|
Users can now search for the forms based AppBuilder fields within any form as search criteria. |
1.6 Tender / Bid Manager
|
This feature enables the user to assign Proxy users from Manage User Role Membership and ability to work on behalf of Proxy users in Tender Workspace, similar to the other Workspace Types. |

Notes:
1. Updating the applets DOES NOT require Administration rights on local machine.
2. Clicking on “Always” option when prompted with a certificate will ensure that similar prompts do not happen for current as well as any other applet signed by Asite. If this option has already been activated, these updates will automatically install.
3. Navigator update also does not require administrator rights.
