1. New Functionality
Asite Christmas 10 Release includes the following new functionality:
1.1 Document Manager

When editing the meta-data of documents whilst creating links, “Apply to All” options are now available to allow batch editing of the meta-data fields. |
1.5 Workflow Manager

A new action type is now available for use with both Document Manager and Forms Manager modules called “For Action”. Users will be able to assign a “For Action” action to other users using the Workflow Manager. In order to complete a “For Action” action, the recipient will need to tick a check-box and provide “Remarks” about the completion of the action which will be visible in the audit trail of the document or form. |

A new action type is now available for use with the Forms Manager module called “For Acknowledgement”. Users will be able to assign a “For Acknowledgement” action to other users using the Workflow Manager. In order to complete a “For Acknowledgement” action, the recipient will need to tick a check-box. |

A new action type is now available for use with the Forms Manager module called “Review Draft”. This action is only applicable to draft versions of forms, and works in conjunction with the new “Share Draft Forms with other users” functionality. Users will be able to assign a “Review Draft” action to other users using the Workflow Manager when they are drafting a form. Upon clicking “Save Draft” users assigned this action will be notified of their action. If the form is created (instead of saved as draft) then the “Review Draft” actions are ignored. In order to complete a “For Acknowledgement” action, the recipient will need to either update the form and save a new draft version, or send the form themselves.. |

The Workflow Manager module now has a 3rd option to select users when assigning actions of “Roles” in addition to the existing “Distribution Groups” and “Companies”. Users will be given a lists of the roles on the workspace and upon selection of the role will be presented with a list of the users assigned that role to add to the distribution list. |
Groups |
The Distribution Groups functionality has been extended to allow definition of Form specific distribution groups. Distribution Groups will now be either “Document Only” or “Form Only”, and will therefore only be able to be used when distributing Document or Forms respectively. Form Only Distribution Groups will allow definition of default actions and action times for each recipient defined within the distribution group. In addition, users will be able to define which form types the distribution can be used with to force AppBuilder forms to use certain Workflows. NOTE: in order to use “Form Only” Distribution Groups, the Workspace settings for the form will need to be updated to have “Use Form Distribution Groups:” selected. If this setting is not enabled, the form will continue to use the “Document Only” distribution groups as per previous functionality |
1.6 AppBuilder

An option is now given to allow Draft responses to be saved for AppBuilder forms. Workspace administrators can enable users to save draft responses by selecting the “Enable Draft Responses” setting in the Form Workspace settings. |

Users can now share draft versions of Forms with other users of their Workspace. This can be done either by using privileges or assigning other users an action on the draft form. Two new privileges are available “View All Draft Forms - Own Org” and “View All Draft Forms – All Orgs” to allow users to view other people’s draft Forms. In addition, users can assign other Workspace members the new “Review Draft” action on their form and they will then allow that user to view their draft form. |

Upon changing the status of a form, a “Reason for Status Change” text box is now provided to allow recording of the reason for the change. This information is recorded in the audit trail of the document. The reason for status change can also be controlled from within an AppBuilder form via a new data-point "DS_STATUS_REASON" |
“Auto-Create” function |
The “Auto-Create” AppBuilder function has been extended to allow document associations to be copied from the Form triggering the “Auto-Create” to the Form created by the function. |
Manufacturer |
Supplier product catalogues have been extended to allow searching my manufacturer name. This allows searching for manufacturer products across supplier catalogues for comparison. |
2. System Changes
Asite Christmas 10 Release has the following changes to configuration requirements and plug-ins:
2.1 Changes to PC Configuration Requirements (Footprint)
None
2.2 Changes to Applets / Plug-ins
IT Configuration Applet - No
Change.
Clicking on the "Check PC Configuration" Link at the Sign In Page will result in the following
Users will be prompted to accept the certificate for updating the IT Configuration Applet (PCConfig.jar)
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by Internet Explorer.
Asite Viewer - No
Change.
Viewing a file or comparing a file for the first time in the Asite Viewer will result in the following:
Users will be prompted to download an ActiveX control.
Once downloaded, the user will be able to compare the project documents in the Asite viewer ActiveX.
Download Applet - No
Change.
If "Extract Files on Download" is selected when downloading a file (or when setting up User
Preference), the following will happen
Users will be prompted to accept the certificate for updating the Download Applet
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by Internet Explorer.
Upload Applet - Change
to handle distribute via Roles
Uploading Files using "Asite Upload" preference will result in the following
Users will be prompted to accept the certificate for downloading the Applet
(AsiteUpload.jar).
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of
Sun JVM automatically by the Browser
Notes:
1. Updating the applets detailed above DOES NOT require Administration rights on local
machine.
2. Clicking on “Always” option when prompted with a certificate will ensure that similar prompts
do not happen for current as well as any other applet signed by Asite. If this option has already
been activated, these updates will automatically install.
