New Functionality
Asite Autumn 08 Release includes the following new functionality:
1.1 General Items

The Help file within Asite has been extended to become Asite Help and Training. Within the Help and Training Site, users with an Asite Key Subscription can access eLearning lessons to guide them through using Asite. If you would like an Asite Key Subscription please visit the Asite Shop. |
1.2 Administration
|
Users with an Asite Key Subscription can now create their own project sites within Asite and start sharing documents on ALL of their projects. If you would like an Asite Key Subscription please visit the Asite Shop. |
1.3 Document Management

All new projects created will now have “---“, automatically created as an initial Document Purpose of Issue that can be assigned to Documents upon upload. This value can be amended, and others created using the “Manage Purpose of Issue” Admin option. |

(Asite Project Workflow / Asite Key Professional Only) Assigning of Purposes of Issues to documents can now be controlled using an Access Control Layer (ACL). This means only certain “Purposes of Issue” can be used by specific users, or groups of users, during upload or when making changes to Document Information. This means only certain “Statuses” can be used by specific users, or groups of users, during upload or when changing the status of a document after a review. User can now search for documents with specific words in the content. Content search is part of the Advanced Search panel within Asite Collaboration and Asite Navigator, and allows users to pin-point their information in a more effective manner. For details of the advanced syntax that can be used within the content search please click here. |

If your project uses a document numbering or naming convention, then compliance can now be automatically checked when a document is uploaded by the Document Reference Checker. Using the “Manage Doc Numbering Scheme” Admin option, Administrators (or users with sufficient privileges) can define multiple document reference rules at Project or Folder Levels. Rules can contain multiple labels (e.g. “Project, “Discipline”, “Doc Type” etc), allowing complete flexibility in rules. Users are notified if their Document Reference does not adhere to the rules, and can amend the reference to match the rule. For more details please click here. |

When changes are made to the Document Info (e.g. “Title”, “Attributes”, “Purpose of Issue” etc) of a document that has been linked; the user now has an option to automatically update the Document Info of the linked versions of the document. This facility is only available for links within same project as the parent document. |

Users will now have ability to check-out documents from the Web application as well as Asite Navigator. When the user downloads a document, they will be prompted whether they wish to Lock the document for editing. As with Check-Out from Navigator; Check-Out locks the document from being updated by other users. There is also a “Mandatory Check-Out Prompt” option to which prompts the user to decide if they wish to open the document or lock for editing when they click on the file type icon. |

To make files stored within Asite available to non-users, you can now generate External Access URLs for documents or individual document revisions. These URLs can be e-mailed to non-users or put on a public project website. Clicking the URL downloads the document from Asite. A record of the IP address of the computer where the link was clicked is recorded in the Audit Trail of the document. For details of how to enable external access to a document click here. |
1.4 Workflow

(Asite Project Workflow / Asite Key Professional Only) Usage of Distribution Groups can now be controlled using an Access Control Layer (ACL). This means you can limit usage of specific Distribution Groups to certain users or groups of users, ensuring that documents are sent to the right people. Users can now search for forms containing specific content and keywords. This includes all data captured the data structure within the new Custom Forms created in Microsoft InfoPath. For further information on Asite Custom forms, please click here |
New Functionality - Asite Navigator
|
As well as browsing through folder structures, users can now also search for documents across a project using Basic / Advance search facility in Asite Navigator. The search allows you to search against specific Document Information criteria (e.g. Document Status, Recipient, etc) as well as the content of the documents. |

Users can now synchronise all files within a Folder Level with their local “Working Folders” via a single click. This will copy the latest version of all files within the folder from Asite to a user defined “Working Folder” on your computer or Network Drive. The “Get Latest Version” option is now available by the right-clicking the folder. |
|
A new “Get Latest Version Incl. Subfolders” option is also available at a Project and Folder Level allowing users to Synchronise all of the documents within a Project, or a Folder and all its subfolders via a Single click. This will copy the latest version of all files for the Project from Asite to a user defined “Working Folder” on your computer or Network Drive. |

Users can now refresh the Project list, Folder list and the Documents Listing on from the Right-Click menu in the Project/Folder Tree. |
|
Resumability is an advanced download management system that helps protect you if your internet connection is lost during download and synchronisation of files from Asite. If the internet connection is broken during download, the Navigator will automatically reconnect, validate the downloaded portion of the files and then resume the download. |
New Functionality – Asite cBIM
|
Users will now be able to upload multiple IFC files at the same time to the cBIM manager within Asite Collaboration and Navigator applications. |
System Changes
Asite Autumn 08 Release has the following changes to configuration requirements and plug-ins:
4.1 Changes to PC Configuration Requirements (Footprint)

4.2 Changes to Applets
Asite
Viewer: Viewing a file for the first time in the Asite Viewer will
result in the following:
Users will be prompted to accept the certificate for updating the Applet (AsiteViewer.jar).
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by the browser. Associated DLLs will be downloaded into Browser temp folder as well.
Upload
Applet: Uploading Files using "Asite Upload" preference
will result in the following
Users will be prompted to accept the certificate for downloading the Applet (AsiteUpload.jar).
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by the Browser
Notes:
1. Updating the applets detailed above DOES NOT require Administration rights on local machine.
2. Clicking on “Always” option when prompted with a certificate will ensure that similar prompts do not happen for current as well as any other applet signed by Asite. If this option has already been activated, these updates will automatically install.
