Welcome to the Asite Autumn 09 Release. There are many new features available for you to use, details of which you can find below.

1.1 Asite Portal (My Home)

Users can now create User Groups and User Roles and assign membership of the Group from the Asite user-base. User Groups and User Roles can be subsequently used to define membership of Workspaces and other items within the Asite Platform |

Users can now add the “Google Maps” portlet to their “My Home” page to view the location of their Workspaces plotted on a Google Map. Workspaces can be entered by clicking on the marker for their Workspace. |
|
Users can now add the “Virtual Earth” portlet to their “My Home” page to view the location of their Workspaces plotted on a either the Virtual Earth Map or 3D Environment. Workspaces can be entered by clicking on the marker for their Workspace. |
1.2 Asite Workspaces
|
Users with the ability to create their own Workspaces can now create templates from an existing Workspace or create a new one from scratch. These templates can then be cloned to speed up creation of new Workspaces |
|
Users can choose to keep their Workspaces linked to the template using “Inheritance” meaning that changes to the template are copied to their Workspace. This means that you can update settings in ALL of your Workspaces by changing the setting in the template! |
|
For greater flexibility in how to apply security, users can now be members of more than one role. This means that roles for specific tasks can be created making custom security access easier to manage. |
|
Creation of roles for a Workspace has been revised to use a matrix with 3 tabs (Membership, Privileges and Form Rights). Administrators can also search for users to assign into roles using names and email addresses, and can assign multiple people into a role in 1 go. They can even search for a comma separated list of email addresses and batch assign roles to specific users! |

As well as User level role membership, Users can now give all members of a User Group or Organisation membership of a role. If you want to make a Workspace enterprise wide, this can now be easily achieved, and the members will automatically update as people join and leave the organisation. |

The Workspace homepage has been updated to allow grouping of Form types together within the Forms Manager section. This allows forms from AppBuilder applications such as NEC manager to be grouped together as modules. The Workspace homepage will also not show The Forms Manager section if no forms have been assigned to the Workspace |
1.4 Document Manager

Users now have an option to print just the attachments to comments (and not the details of the comment) when batch printing. This is useful for teams attaching marked up documents to comments where the details of the comment do not need printing. |
1.4 Workflow Manager
|
Users can now select to copy the distribution of the previous version of a document when publishing a new revision or forwarding to others. This will select the recipients that they chose last time along with action and timescale, but will not copy recipients added by other parties. |
1.5 Forms Manager
|
Users can now save draft versions of Forms built using AppBuilder without having to complete all mandatory fields. |
1.6 Procurement Manager
|
Including Company Setup, Contracts, Blanket orders, Call-offs, Purchase Orders, Advance Shipping notes, Goods Receipt, Invoices. |
1.7 Asite Navigator
|
Asite Navigator will now scan Working Folders and find documents that have not yet been shared using Asite and display them within the folder display in Asite Navigator. Users can then simply publish them to Asite to share them with other users. |
|
Asite Navigator now adds the Asite Document Reference attribute to the files in the local folder so that even if the document has another filename, Navigator will know that it relates to this Document Reference. Navigator can then delete older versions of the document that exist in your Working Folder to remove clutter and keep your folders in Synch. |
|
The Navigator Icon in the System tray now gives users quick links to access the Asite Community Sites. New Options include “Post in Asite Forums”, “Go to A-Blog”, “View Asite on Twitter” and “View Asite on LinkedIN” |
Asite Autumn 09 Release has the following changes to configuration requirements and plug-ins:
2.1 Changes to PC Configuration Requirements (Footprint)

2.2 Changes to Applets / Plug-ins
IT Configuration Applet
Clicking on the “Check PC Configuration” Link at the Sign In Page will result in the following
Users will be prompted to accept the certificate for updating the IT Configuration Applet (PCConfig.jar)
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by Internet Explorer
Asite Java Viewer
Viewing a file for the first time in the Asite Viewer will result in the following:
Users will be prompted to download an ActiveX control.
Once downloaded, the user will be able to view files.
Asite Active X Viewer (For File Compare)
Comparing a file for the first time in the Asite Viewer will result in the following:
Users will be prompted to download Active X control.
Once downloaded, the user will be able to compare the project documents in the Asite viewer ActiveX.
Download Applet
If “Extract Files on Download” is selected when downloading a file (or when setting up User Preference), the following will happen
Users will be prompted to accept the certificate for updating the Download Applet
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by Internet Explorer
Upload Applet :
Uploading Files using "Asite Upload" preference will result in the following
Users will be prompted to accept the certificate for downloading the Applet (AsiteUpload.jar).
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by the Browser
Notes:
1. Updating the applets detailed above DOES NOT require Administration rights on local
machine.
2. Clicking on “Always” option when prompted with a certificate will ensure that similar prompts do not happen for current as well as any other applet signed by Asite. If this option has already been activated, these updates will automatically install.
