New Functionality
Asite Collaboration - Spring 08 Release includes the following new functionality:
1.1 General Items

Users will now be required to accept the Asite Terms of Use to access Asite Services. |
|
Users will now have the facility to reset their own password. Users will be required to specify a secret question and answer when they login for the first time after the release. After successfully answering a secret question, users will be e-mailed their new password to the email address specified in their user profile. |
|
Users will now be able to change their password from the “Use Services” page. Users will be prompted to enter their Old Password and specify a New Password. |
|
User’s Subscription Statuses with Asite are now tracked and an icon is displayed alongside the users name to indicate whether they are subscribed to Asite or not. |
|
Usage of Asite Collaboration is now fully supported from the Mozilla Firefox Browser in addition to Microsoft Internet Explorer. |
|
The following changes have been made to the User Interface: 1. Icons in the document listings are now grouped into drop-down menus that expand on mouse hover-over. 2. Work-packages have been renamed as Attributes within the entire Collaboration application. 3. The comment listings page within the document history is now updated to align details of comments with the comment tree. |
1.2 Administration

Users assigned an “edit project details” privilege within a project can now edit the details (i.e. name etc) of a project. These users can also edit the list of organisations registered with Asite that are assigned to the project, removing the requirement for Asite support to be contacted for this operation. (Only Available in Asite Project Workflow) Where changing of user role results in users losing access to document folders, the system will prompt the user assigning the role to clear incomplete actions and unread comments on all effected documents. The audit trail records the role change and clearing of actions and comments. Click here for further details |

(Only Available in Asite Project Workflow) Users will now receive summary emails (in addition to instant emails) for the users for whom they have proxy access when the “Forward Copy of Email” option is selected. Click here for further details |

Administrators can now configure folders in projects with a unique email address to which users can send emails. The emails will be automatically published in the corresponding folder within the project. Click here for further details |
1.3 Document Management

Documents checked-out for editing with the new Asite Navigator tool will be marked with a padlock to let other users know they are being edited. Administrators can undo check-out. All actions are logged within the audit trail for the documents. Click here for further details |

A revised Java Upload Manager Applet is included in this release to supersede the current ActiveX upload manager that is a Java Applet. Users will still retain the option to use the ActiveX Upload Manager in their user preferences. The applet based upload manager has support for compression and resumability (i.e. if internet connection is lost mid-upload the upload will resume once the connection is restored). NOTE: You must select “Asite Upload” in your preferences to use the new upload manager Click here for further details |

The new applet based upload module allows users to define all details required to upload documents from an Excel File. Users are required to fill in an Excel template to define the filepath and details (metadata e.g. titles, revision letter etc) for documents to be uploaded. Once the completed template is imported to Asite, selection of the files and entering of details required during the upload process are automatically completed. Users can now also define the distribution of documents which are being uploaded prior to starting the upload. NOTE: You must select “Asite Upload” or "Thin Client" in your preferences to set distribution before upload. Click here for further details |

Users with Admin permissions on a folder will now be able to move the folder and its sub-folders (including folder contents) to another location within the same project . The audit trail records who moved the folder(s). Click here for further details |

Users with Admin permissions on a folder will now be able to move documents to another folder on their project. Where access to documents is removed for certain users by moving folder, outstanding actions are required to be cleared or delegated. The audit trail records who moved the document(s). Users with Admin permission on a folder can now copy the folder and its sub-folders. Options are given to rename the folders during the copy and whether folder permissions are also copied. Click here for further details |

Linked document no longer have to have the same metadata (purpose of Issue etc) as their parent location. These details can be amended during linking as appropriate. Click here for further details |

Users now have a facility of defining the Drawing Series attribute for all document types which was previously only available for specific file formats. |

(Only Available in Asite Project Workflow) When de-activating a folder, incomplete actions and unread comments are audited and the user is asked to clear them so users are not left with incomplete actions they cannot access. Click here for further details |

(Only Available in Asite Personalised Workspace) Users can now delete unrequired documents from their Personalised Workspace. Click here for further details |
1.4 Workflow and Commenting

(Only Available in Asite Project Workflow) Users will now be able to set the Comment Distribution of each comment while batch commenting on documents in the document basket. Click here for further details |

Each document transaction (one or more documents being sent to one or more users) is now automatically given a project specific transmittal number. The Transmittal number is displayed in the document audit trail, and can be used to access a transmittal record and Issue Sheet for the transaction. Click here for further details |

Comment titles will now be pre-populated when creating a comment response. However, the title can be edited by the comment response creator. Click here for further details |

Users can now consolidate multiple markups into a new merged markup. These can then be edited / amended as required to give a final “Consolidated” markup at the end of a review. Click here for further details |
System Changes
Asite Collaboration - Spring 08 Release has the following changes to configuration requirements and plug-ins:
2.1 Changes to PC Configuration Requirements (Footprint)

2.2 Changes to Applets
Asite Viewer: Viewing a file for the first time in the
Asite Viewer will result in the following:
Users will be prompted to accept the certificate for updating the Applet (AsiteViewer.jar).
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by the browser. Associated DLLs will be downloaded into Browser temp folder as well.
Download Applet: Downloading Files
using extract option will result in the following:
Users will be prompted to accept the certificate for updating the Applet (AsiteDownload.jar).
Once accepted, the applet will be downloaded and placed in the Java Cache Folder of Sun JVM automatically by the Browser

Notes:
Updating the applets detailed above DOES NOT require Administration rights on local machine.
Clicking on “Always” option when prompted with a certificate will ensure that similar prompts do not happen for current as well as any other applet signed by Asite.
